Whether you use web server based email like Gmail or Outlook.com or use company networked emails, you must have found the options of POP and Exchange. These actually refer to the different email options. Email falls into three main categories:

2.IMAP

POP
Post Office Protocol (POP) provides a way to interact with mail servers. It basically works by downloading the emails to read them offline. If you open your email server and download the emails, the emails will be removed from the mail server and only available on your laptop or PC. If you try to access them via POP on any other device, they won’t appear. There are some pros and cons associated with the POP system. They are:
The pros are:
o They help download emails to one location and therefore keep a single, maintainable copy.
o It is a very common and easy way to manage the email system.
The cons associated with this are
o POP does not offer message synchronization
o Once the email is downloaded to the PC, it completely disappears from the email server
o The POP system does not offer any contact or data synchronization.

This is the most complex type of email system found in the list of email options. Technically it is called messaging application programming interface. This was developed by Microsoft.
The Exchange Protocol was created to help users synchronize their email, contacts, and other functions between email clients and services. This type of Exchange server is widely used in business. The Exchange server is a computer server that stores your email address, contact number, address and files and gives access to them at all times securely from any computer. The Exchange protocol allows you to:
1. Securely access email servers remotely. You can access the email server using any means, such as the web, or any mobile device (iPhone, Blackberry, Google and Android systems)
2. Helps to manage and sync contact information
3. It gives you security and backup of all your data.
Like all email options, the handshake also comes with a list of pros and cons.
The pros are:
o The exchange protocol allows the full synchronization function of email messages.
o Messages are stored on the email server and on the PC.
o Most mobile phones support the Exchange protocol.
o Emails may not be sent or even modified if they are sent within the domain of the server.
Despite the many advantages, some of its disadvantages are:
o The exchange server is an expensive system to implement and use.
o When using the Exchange protocol, synchronization errors can often occur which are difficult and cumbersome to fix.
o Not all desktop, laptop or mobile computers can fully support the handshake.
